Project Background
DMCC (Dubai Multi Commodities Centre) is a vibrant hub for global trade in Dubai. Before this project, DMCC faced challenges in disseminating information swiftly across its rapidly growing departments and maintaining engagement in a diversifying workforce. The organisation needed a unified platform to streamline communications and make resources readily accessible.
Project Scope
The scope includes implementing a SharePoint Online-based Intranet portal with integrated features and automated workflows.
SharePoint Configuration
SharePoint Version: SharePoint Online.
Additional Technologies Used:
- PowerApps: For custom application development.
- Power Automate: For automated workflows.
- Power BI: For analytics and reporting.
Key Features Implemented
Features include Announcements, News Centre, Department Sites, Employee Profiles, and more, designed to enhance collaboration and information sharing.
Benefits and Outcomes
The SharePoint Intranet Portal addressed DMCC’s challenges:
- Improved information delivery across departments.
- Enhanced employee engagement and community sense.
- Streamlined approval processes and reduced manual tasks.
- Centralised access to organisational resources.
- Data-driven decision-making enabled by Power BI.
User Adoption
A critical aspect of the DMCC SharePoint Intranet Portal’s success lies in its adoption by the employees. To ensure widespread and effective use, the project adopted a multi-faceted approach to user adoption:
User Training: Comprehensive training sessions were organised to familiarise employees with the portal’s functionality. These sessions were designed to cater to various skill levels, ensuring that all employees could comfortably navigate and utilise the portal, regardless of their technical proficiency.
Interactive Walkthroughs: Interactive walkthroughs were provided alongside the training. These walkthroughs offered hands-on experience with the portal, allowing employees to explore features like the News Centre, Employee Profiles, and Document Libraries in a guided environment.
User Manuals: Detailed user manuals were prepared and distributed. These manuals serve as a reference guide, providing step-by-step instructions on using different portal features effectively.
Feedback Mechanisms: To ensure the portal continually meets the needs of its users, a feedback mechanism was established. Employees can share their insights and suggestions for improvements, making the portal a continuously evolving tool tailored to their needs.
Ongoing Support: A dedicated support team was established to assist employees with any challenges they encounter while using the portal. This support ensures that issues are promptly addressed, minimising disruptions and enhancing the overall user experience.
Regular updates and refreshers are planned post-launch to keep the employees engaged with the latest features and functionalities, ensuring the portal remains a vital tool within DMCC.
Return on Investment (ROI)
The DMCC SharePoint Intranet Portal is anticipated to yield substantial ROI:
- Increased Productivity: The centralised information system and automated workflows are expected to improve productivity by up to 20%, reducing time spent on manual processes and information retrieval.
- Reduced Operational Costs: Streamlining processes and reducing the need for physical resources are projected to cut operational costs by approximately 15%.
- Improved Employee Engagement: Enhanced engagement through the portal could lead to a 10% reduction in turnover rates, translating to lower recruitment and training costs.
- Time Savings: Automated workflows and efficient information access are estimated to save several hours per employee per month, significantly impacting overall time management.
- Data-Driven Insights: With Power BI integration, DMCC can make more informed decisions, potentially improving strategic outcomes and operational efficiency.
Conclusion
The project marks a significant step in DMCC’s digital journey, leveraging modern technologies to foster a connected and efficient workplace.
